Welcome to the control panel

The control panel is the POSfix web app — the place you run the whole business from, in a browser, with nothing to install and no updates to chase. The cash registers (Windows and Android) sell; the control panel keeps the books, issues the documents, calculates payroll and prepares the returns.

Accounting is its heart — full double entry, fitted to the law of the Republic of Moldova — but the panel also covers trade, stock, bank and cash, fixed assets, production, payroll, customer relations and cash-register administration.

What a typical working day looks like​

  1. In the morning — You import the bank statement. The panel recognises the partners on its own and proposes the type of each operation.
  2. You process what came in — Supplier invoices, goods receipts, and the e-Invoices that arrived through SFS.
  3. You issue documents — Sales documents, e-Invoices, payment orders.
  4. You check — Open the trial balance and the account card to make sure everything adds up.
  5. At month end — Payroll, depreciation, closing the accounting period, filing the IRM.

Every step writes the correct accounting entries on its own — you never type an entry by hand.

What the panel includes​

Accounting​

  • Moldovan chart of accounts, already set up (654 accounts, per MF Order 119/2013)
  • Journal with entries generated automatically from documents
  • Accounting periods with monthly closing and locking
  • Opening balances for migrating from another system
  • Foreign-currency operations with the BNM rate fetched automatically and monthly revaluation

Trade and invoicing​

  • Partner register (suppliers, customers, contacts)
  • Supplier invoices, goods receipts, sales documents
  • Returns, debt offsets, contracts
  • e-Factura integration — receiving and sending electronic invoices through SFS

Money (bank and cash)​

  • Bank accounts with IBAN and statement import
  • Bank operations matched to invoices automatically
  • Payment orders generated straight from invoices and payroll orders
  • Cash desks, cash receipts and cash disbursements

Stock and production​

  • Product nomenclature with valuation methods (FIFO, weighted average)
  • Warehouses, stock movements, physical inventory counts
  • Production orders with specifications and cost calculation

Fixed assets​

  • Records of fixed assets and intangible assets
  • Automatic monthly depreciation — straight-line, declining balance or units of production
  • Asset inventory counts with automatic adjustment

Payroll and HR​

  • Employee cards with tax exemptions, IDNP, IBAN
  • Monthly timesheets, leave requests, sick leave
  • Salary calculation: gross → AOAM 9% → exemptions → income tax 12% → net (+ CAS 24% employer)
  • Payroll orders with payment orders generated automatically
  • The IRM report — generated automatically for the monthly filing

Reports​

  • Trial balance, drillable down to the account card
  • Financial statements (balance sheet, profit and loss)
  • Report builder — custom reports with aggregation and export
  • Statistical reports and tax returns

The panel menu​

The sidebar shows the same entries for every merchant; whatever is not in your contract appears greyed out, with a padlock.

First steps​

If you are just starting out, follow these steps:

  1. Create an account and an organization — takes under 5 minutes
  2. Set up the first things — chart of accounts, periods, partners
  3. Learn to move around the interface — sidebar, tabs, context menu

Moldovan legislation

POSfix follows the National Accounting Standards (SNC), the Fiscal Code of the Republic of Moldova, Government Decision 704/2019 (depreciation), the CNAS/CNAM rules and the SFS requirements for e-Factura. Rates and formulas are updated with every change in the law.
