Tax obligations — deadlines and reporting
The panel brings you the deadline calendar straight from SFS, calculates the amounts due out of salaries and generates the forms you file. It neither signs nor transmits anything — the filing stays with you.
This page shows you the four screens you use month after month and what has to be filled in by hand on each.
The fiscal calendar
Where to find it: Sidebar → Fiscal Calendar
The screen shows you the deadlines published by SFS for the chosen month and lets you note, for your own company, what you did with each. It files nothing and calculates no amounts — it is your compliance record.
At the top you have four counters — Planned, Pending, Submitted, Overdue — that sum up the month at a glance. The arrows next to the month name move you back and forth, and the Sync from SFS button reloads the official list when something changed mid-month.
Below the counters is the calendar grid. You press a day and the deadlines falling on that day appear underneath. The full list of the month sits grouped by tax category, in groups you fold and unfold.
To mark a deadline:
- Press the deadline in the list.
- Give it a status, and if needed the amount and a note.
- Save. The counter at the top moves immediately.

Annual returns do not appear in the current month. If in July you look for the one from January, you won't find it — and that does not mean you don't owe it. The calendar shows the deadlines of the month you have open, not the whole year.
The salary calculation
Where to find it: Sidebar → Team → the Salary Calculation tab
The panel calculates, for each employee, the withholdings from the salary and the employer's contribution, at the rates of the tax year the period falls in. You do not type the rates — they are configured in the platform per year, and the calculation reads them from there.
What you have to get right before the first run:
- The month's timesheet — confirmed. Without it, the days worked are zero.
- The exemptions in the employee's file — chosen on the basis of his written application. Unselected, they don't apply.
- The employee's department — it decides the expense account of the salary.

The expense account comes from the department
The panel does not look at the employee's job title. It takes the expense code written on his
department and posts the salary there. A department without a configured code means 713.1,
administrative personnel expenses.
If you want production salaries on a different account, you put it on the production department — not on the employee and not on the calculation document.
The personal exemption can cancel itself out
Above an annual cumulative income threshold, the personal exemption no longer applies — and the panel takes it to zero from the month the threshold is crossed, without asking you. It is the correct behaviour, but it takes you by surprise if all you look at is the net salary.
The exemptions for the spouse and for dependants have no such threshold.

The Reports screen has more tabs than the tax ones above — among them Sales report, Product profitability, Sales register, Dead stock and Responsible performance, which are management reports, not returns.
Monthly or annual — don't mix the forms up
The monthly return of tax withheld at source is IPC (form IPC21). The IRV14 tab keeps the old form, for the periods when it was in force.
IALS and INR14 are not withdrawn forms. They are annual information notes:

An annual note does not appear in the list of an ordinary month in the Fiscal Calendar. If you look for it there in July, you won't find it — and that does not mean you don't owe it. You check the deadline in the calendar of the month it falls in.
The forms are filled from your accounting and personnel data, but some boxes have no source in the records and stay empty, for you. The panel leaves them blank instead of putting a zero — a false zero would pass the SFS validation and would become a wrong return. Go through the form before you file it.
What you do with the filled-in form
The right-hand bar of every report has three things you need.
Download XML (SFS) gives you the file you upload directly into your cabinet on the portal. It appears on the reports that have an SFS form, the VAT Declaration among them. Do not retype the figures by hand.
Save and Open Saved keep the filled-in version of the report, together with the boxes you typed yourself. Without them, a regeneration starts from scratch.
The panel does not sign and does not transmit the returns. The filing is yours to do, on the SFS portal, with your electronic signature — or, for invoices, through e-Factura.
The IRM document
Where to find it: Sidebar → Team → the IRM tab
The IRM document (IRM-19) reports changes in employment relations, not salaries: hiring, termination, suspension, resumption, temporary hiring. You add one line per event, with the employee, the code of the change, the date and — on termination — the reason.
Its cycle is Draft → Submitted, and the "Submitted" status means that you uploaded the document to the portal and noted the reference here. The document can be cancelled and restored.
The monthly amounts from the salary (tax withheld, health insurance, social contributions) are not reported through IRM, but through IPC.
The company's income tax
Where to find it: Sidebar → Accounting → the Accounting Periods tab
The panel calculates it once a year, in December, as a step of the closing wizard. The base is the accounting profit before tax — the turnovers of class 6 minus those of class 7, without the tax account. The step generates an entry and posts it.
The calculation in the panel is annual, but the payment can be quarterly, in instalments. You see the deadlines in the Fiscal Calendar; the panel does not calculate the instalments.
Revenue and expense accounts are not closed monthly. They accumulate over the year and are closed once, in December, through the balance-sheet reform — also from the closing wizard. The wizard's "Financial result" step, if you run it in another month, is purely informative.
The calculation starts from the accounting profit. The tax adjustments — non-deductible expenses, differences between accounting and tax depreciation — are yours to make, in the annual return. What you see in the panel is the starting point.
The panel does not check your tax regime
The December step always applies the general-regime rate, whatever your actual regime is. If you are on the SME-sector regime, that entry does not apply to you.
To take it out:
- Open the December period in Accounting Periods.
- Find the entry in the period's Closing Documents section — it is not a separate tab.
- Unpost it, before you lock the month.
The IVAO15 form you generate from Reports → the IVAO15 tab. The panel fills indicators Ф1–Ф10 from the class 6 turnovers. The rate (row Ф11) and rows Ф3, Ф8, Ф13 you write yourself. As long as Ф11 is empty, rows Ф12, Ф14 and Ф15 stay empty — the panel does not assume a rate.
e-Factura
The electronic tax invoice (e-Factura) is mandatory for supplies to public institutions. For other partners you use it according to the rules in force for your category. Check in your cabinet on the SFS portal whether you are included.
The panel connects to the portal in both cases, with an API-type user that you create once.
- You configure the credentials — the Integrations menu → the e-Factura card.
- You issue the invoices from the panel; they leave for SFS.
- You sync periodically to bring in the invoices received.
- You follow the status: signed, accepted or rejected by the buyer.

Common mistakes

Troubleshooting
The salary calculation doesn't come out with the expected figures
- Check the timesheet — it has to be confirmed for that month.
- Check the exemptions in the employee's file: if the application is missing, the exemption does not apply.
- Check the income accumulated since 1 January: above the annual threshold, the panel takes the personal exemption to zero.
The VAT declaration doesn't match the trial balance
- Compare the turnovers of
225.2and534.4with the totals in the sales and purchases register. - Look for documents left in Draft — they have no entry, so they don't enter the declaration.
- Check the invoices cancelled in e-Factura: you correct them in the panel too, with a correcting document.
The trial balance doesn't close on the contribution accounts
- Check every payment: contributions go to
533.1,533.2and534.2, not to a generic account. - Check the opening balances, if you migrated from another system.

Frequently asked questions
Can I correct a VAT declaration I have already filed?
Yes, through an amended return on the SFS portal. If it results in additional VAT to pay, pay the difference immediately: penalties run from the original deadline, not from the date of the amendment.
Where do I see how much I owe on each tax?
In the trial balance, on the liability accounts: 534.2 income tax on salaries, 534.4 VAT, 533.1 social insurance, 533.2 health insurance, 534.1 the company's income tax. The credit balance is what you owe.
Does the panel file the reports with SFS automatically?
No. The panel generates the forms and gives you the XML file ready to upload, with Download XML (SFS); the filing and the signature stay with you, in your cabinet on the portal. The only automatic transmission is that of invoices, through e-Factura.
Do I have to record an IRM if I had no change?
No. The IRM document reports events. Without a hiring, a termination, a suspension or a resumption in that month, you have nothing to report through it — but the IPC return is still due if you paid salaries.
How do I find out whether I declare VAT monthly or quarterly?
From the SFS notification or from your cabinet on the portal. The panel generates the declaration for the period you choose, whichever it is.
What do I do if I missed a deadline?
You file and you pay, then you mark the deadline as Submitted in the Fiscal Calendar, so you don't lose it again. Also check whether you need an amended return.
