Payments requested from customers

Here you ask a customer to pay through MIA: you send them a link or a QR code for a fixed amount in lei, and they pay from their bank's app. The request doesn't issue a fiscal receipt. The customer's debt is cleared only when you post the payment that arrives on the statement.

Where to find it: Sidebar → Money → the Payments requested from customers tab

The tab needs the MIA POS QR Payments module in your subscription. Without it, it shows with a padlock.

To set up the requests from the panel:

The requests go out through the company's bank, so you set up the connection with it once.

  1. Integrations → MIA payments (instant QR).
  2. Under Payment requests from the panel, press Set up.
  3. Under Bank or provider, choose Victoriabank or maib and type the details you got from the bank: for Victoriabank API user and API password, for maib MIA merchant code, Secret key and, if you have it, Signature key.
  4. Type the IBAN that receives the money and the Name the customer sees — the name appears in the bank's app, at payment.
  5. Save, then press Test the connection.

The IBAN account must also be in Bank accounts: that way the payment is matched by itself on the statement. For Victoriabank, the form also shows you a notification address. Send it to the bank, so that payments are confirmed on the spot; until then they are confirmed within 30 seconds at most.

Until you do the setup, the documents don't show the request button, and New request stops with the message that the panel requests are not set up.

To ask for payment of an invoice or a payment request:

  1. Open the payment request or the posted invoice.
  2. From the ⋯ menu, choose Request payment via MIA (QR or link).
  3. Check the amount — the panel fills in by itself how much is left to collect on the document.
  4. Choose how the link reaches the customer and press Create link or Send.

To ask for an amount without a document:

  1. Money → Payments requested from customers → New request.
  2. Choose the customer, if you know them — the payment is then linked to them on the statement.
  3. Type the amount and What the customer pays for, for example "Order advance".
  4. Choose how the link reaches the customer and press Create link or Send.

By default the link is valid for three days; you can also choose one hour, one day, 7 or 30 days. The What the customer pays for text appears in the bank's app, at payment — write it so the person recognises their debt.

A request's statuses

  • Waiting — expires on… — the link can be paid until the date shown.
  • Paid on… — the customer paid. The debt isn't cleared yet: it waits for the statement.
  • Canceling — waiting for the bank — you cancelled, and the bank hasn't confirmed yet.
  • Canceled — the link can no longer be paid.
  • Expired unpaid — the deadline passed, or the bank refused the payment.

After the customer pays

The payment reaches the bank statement with the customer and the document already chosen. Open the bank operation and press Post — only then is the invoice cleared and the entry made.

For a private person, the fiscal receipt doesn't come from the link. You issue it from the register, at delivery.

To cancel a request:

  1. On the row that is Waiting, open the ⋮ menu and choose Cancel link.
  2. Confirm.

Cancelling can't be undone. If the customer had already paid, the payment stays and the row turns Paid. To ask again, you make a new request.

What can trip you up

The payment is on the statement, but without a customer and without a document. The IBAN account in the MIA setup isn't one of the company's accounts in Bank Accounts, or the amount on the statement differs from the one requested. The same happens when several payments with the same amount came in on the same days and the bank didn't write the document number in the text. You then choose the customer and the document by hand, on the bank operation.

The row still shows "Waiting", though the deadline has passed. The request closes a few minutes after the deadline, and the list shows the status from when you opened it. Change the filter or reopen the tab.

"Payment requests from the panel are not set up." The setup of the panel requests hasn't been done.
